Refund Policy
Last updated: 26th August 2026
Â
We understand that plans can change, particularly when organising weddings and special events. Our aim is to make cancellations and date changes as straightforward and fair as possible
Cancelling your booking
Â
If you need to cancel your booking, please let us know as soon as possible by email or WhatsApp. The amount refunded will depend on how much notice we receive and the costs we have already reasonably incurred in preparing for your event. We will always consider whether costs can be avoided, recovered or whether your event date can be rebooked before determining the final amount retained.
Â
More than 8 weeks before your event
Â
Where sufficient notice is provided, we will aim to refund payments made, less any reasonable costs that we have already incurred specifically for your booking and cannot reasonably recover.
Â
4–8 weeks before your event
Â
Some costs associated with your booking may already have been committed. We may therefore retain an appropriate amount to cover reasonable costs and losses arising from the cancellation.
Â
2–4 weeks before your event
Â
At this stage, food, ingredients, preparation and other arrangements may already have been made specifically for your event. We may therefore need to retain a larger proportion of the amount paid to cover reasonable costs that cannot be avoided or recovered.
Â
Less than 14 days before your event
Â
Because we may already have purchased ingredients and committed significant preparation time and resources, we may retain amounts reasonably necessary to cover the direct costs and losses resulting from the cancellation.
Â
Within 48 hours of your event
Â
Where substantial preparation, food purchasing or other commitments have already been made, we may be unable to provide a significant refund. We will nevertheless consider the individual circumstances of your cancellation and any costs that we are able to avoid or recover.
Changing your event date
Â
If you need to postpone rather than cancel your event, please contact us as soon as possible. We will always try to move your booking to another date where we have availability. If your new date is available, we will normally transfer your booking rather than treat it as a cancellation. If we are unable to accommodate the new date, we will discuss your options with you. Additional costs may apply if changing your date creates significant additional costs, for example due to changes in travel, seasonal ingredients or equipment requirements. We will always discuss these with you before applying them.
Â
If Country Garden Catering has to cancel
Â
We will make every reasonable effort to fulfil your booking. In the unlikely event that we are unable to provide your catering because of circumstances such as serious illness, an emergency or another event outside our reasonable control, we will contact you as soon as possible. Where we are responsible for cancelling your booking and cannot provide the agreed service, we will provide an appropriate refund for services that we are unable to provide, subject to your statutory rights.
Â
How refunds are made
Â
Where a refund is agreed, it will normally be made using the original payment method where possible. Refunds will be processed within 14 days of the refund being agreed.
Â
Our approach to cancellations
Â
We don't believe cancellation fees should be used as a penalty. Any amount retained following a cancellation will be based on the reasonable costs and losses arising from your cancellation, taking into account any costs we can avoid, recover or replace by rebooking the date. This policy should be read alongside our full Terms & Conditions. Nothing in this policy affects your statutory rights as a consumer.
